What do you charge?
Thayer Transcription offers a flat rate for
general correspondences and a 65-character line rate for all other report types. General correspondences in letter format are
billed at a flat rate of $8.00 (up to two pages) and
$4.00 for each additional page thereafter. Client letterhead and
envelope may be used. All other report types are billed at
11.5 cents
per 65 character line.
Clients receive accurate and itemized bi-weekly invoicing.

How do you define a line?
One line equates to 65 characters.
A character is any letter, number, symbol, or
function key necessary for the final appearance and content of a
document, including the space bar, carriage return, underscore,
bold, and any character contained within a macro, header, or footer. Total
lines in a document are calculated by the total characters then
divided by 65 for the total billable line count.

Is a contract required?
No contract is required. Thayer Transcription provides a
Transcriptionist/Client Service Agreement that outlines arrangements
including patient confidentiality, services provided and an
invoice/payment schedule.

How do we get started?
Start by filling out your
Customized Client
Profile. Thayer Transcription will review this and decide if we
are able to best meet your transcription needs and requests. When an
account is created with us you can provide samples for each kind of
report you require or we can create a report format at no extra
charge. Service can begin in as little as 24 hours in most
cases.

How do we send/receive dictation and transcription files?
Dictation is uploaded to our secure
server using your unique username and password via a standard web
browser. This can be done at your convenience and from any
location with internet access. Your audio files are protected
via 128-bit encryption while uploading. Completed
transcription files can be retrieved from our secure server using
your unique username and password via a standard web browser. The
completed transcription can be downloaded, viewed, edited/revised
and/or printed at your convenience.

How
long are the dictated audio and transcribed files stored?
Dictated audio files are stored on our secure
server for a minimum of five (5) days and completed transcribed
documents are stored on our secure server for a minimum of three (3)
months.
The completed transcription can
be downloaded, viewed, edited/revised and/or printed at your
convenience.

How do you get patient demographics?
Thayer Transcription prefers the patient schedule be faxed or

How do you
get referring physician information?
It is recommended to receive an initial list with the referring
doctor’s contact information when we begin working with your
facility. Updates can be sent to us as needed.

What
level of quality and accuracy can I expect?
Thayer Transcription adheres to quality guidelines set forth by
The AAMT Book of Style for Medical Transcription. Thayer
Transcription prides itself in placing “Quality before Quantity” and
practices medical transcription as both an art and a science. Special attention is taken to check and recheck processed
transcription so it is accurate to the last degree. The documents
can immediately be distributed to the patient charts or the
community.

How are document edits & revisions handled?
Our goal is that the first draft is the final draft and we encourage
clients to communicate any issues that help us achieve this goal. Thayer Transcription will flag "problem areas" in a document
allowing clients to make their own edits, which is fast and
efficient. The client should communicate any issues of a quality
control nature so we can take steps to minimize multiple edits.
We also accept edits and revisions via fax or e-mail.

How do you identify or flag problem areas in a document?
For areas that may need to be edited we will place a “XX”
symbol with an audio time marker in the document and notify the
office via e-mail or fax upon uploading and returning the file. If
requested by the client, we may also place a 15 space line (
_______________ ) in the document allowing the client the option to
fill in for printed reports.

What type of digital recorder do I need?
There are several compatible devices at this time. Thayer
Transcription recommends the the Olympus DS-2, Olympus DS-30,
Olympus DS-40 and the Olympus DS-2300.

How
does the hand-held recorder work?
The operation
of the recommended units are quite basic. When you begin working
with Thayer Transcription we will provide complete instruction on
how to dictate on the device and upload the audio files. Complete
training and support will be provided.
